Circumstances Beyond Our Control

If a class proceeds as scheduled but attendance is affected by circumstances beyond our control (including, but not limited to, road closures, accidents, or extreme weather), the class will not be refunded or rescheduled.

We encourage all clients to allow extra travel time wherever possible.

Health & Participation

By booking and attending a class, you confirm that you have been cleared by a qualified health professional to participate in physical exercise, including Pilates-based movement.

You acknowledge that you are fit to participate and agree to inform Elm Studios Ltd and/or the instructor of any medical conditions, injuries, pregnancy, or physical limitations prior to attending a class or session.

Elm Studios Ltd and its instructors reserve the right to refuse participation if they believe it would be unsafe for you to continue.

Assumption of Risk & Liability Waiver

You acknowledge that participation in Pilates and physical exercise carries inherent risks, including the risk of injury.

Elm Studios Ltd and its instructors (whether teaching in-studio or online) accept no liability for injury, loss, or damage sustained as a result of participation in any class, session, or use of equipment, except in cases of death or personal injury caused by proven negligence.

Any guidance or instruction provided by Elm Studios Ltd instructors is not medical advice and does not replace advice from a qualified healthcare professional.

Instructor Responsibility

By booking a class at Elm Studios Ltd, you enter into an agreement with the instructor delivering the session at the time of your booking.

Each instructor is responsible for the content and structure of their individual sessions.

Cancellations, Refunds & Late Arrivals

Classes may be cancelled or rescheduled up to 12 hours before the scheduled start time. Cancellations made within 12 hours are non-refundable.

Private 1:1 / 1:2 sessions may be cancelled or rescheduled up to 48 hours before the scheduled start time.

Private group bookings and courses are strictly non-refundable.

All cancellations must be made via the Elm Studios booking system. Cancellations made via email, WhatsApp, SMS, or social media will not be accepted.

No Shows

Failure to attend a booked session without cancelling within the required timeframe will result in forfeiture of the session without refund.

Two or more no-shows within a 30-day period will incur a charge for a class as a penalty, helping us manage waitlists fairly and respectfully.

Late Arrivals

We do not operate a lateness policy and welcome you to join whenever you arrive to minimise stress. Please enter quietly, stow belongings promptly, and prepare without disrupting the class.

Clients are responsible for warming up appropriately upon arrival to reduce the risk of injury.

Phone Policy

To maintain a safe, focused, and enjoyable environment, all mobile phones must be switched off or placed on silent before class begins.

Use of mobile phones on or around reformer beds is strictly prohibited at all times for safety reasons.

Full attention is required during classes. Listening to instructor cues and observing demonstrations is essential to ensure correct technique and reduce the risk of injury.

Payments, Memberships & Passes

Full payment is required at the time of booking to secure your place.

All memberships, class packs, and bookings are non-transferable and non-refundable.

Elm Studios Ltd is not responsible for unused or expired memberships or class passes.

Studio Cancellations

If a class or session is cancelled by Elm Studios Ltd, your class credit will be returned for rebooking at an alternative time.

Elm Studios Ltd reserves the right to cancel classes with fewer than two participants.

Personal Belongings & Liability

All personal belongings are brought into Elm Studios Ltd at your own risk.

We accept no responsibility for loss, theft, or damage to personal items.

Elm Studios Ltd accepts no liability for loss or injury occurring inside or outside the studio premises, except where such liability cannot legally be excluded.

Waiver & Release

In consideration of using Elm Studios Ltd facilities, equipment, and participating in sessions, you agree to waive, release, and discharge Elm Studios Ltd, its directors, staff, and instructors from all liability for injury, loss, or damage arising from participation—except in cases of death or personal injury caused by negligence.

Photography & Marketing

Elm Studios Ltd may capture photographs or video footage during classes or events for marketing purposes. By agreeing to the Elm Studios Waiver & Terms, you consent to being photographed or recorded.

If you do not wish to appear in any marketing materials, please notify us in writing at info@elm-studios.co.uk.

Customer Filming Policy

Clients must request permission from the instructor or studio before filming.

Clients agree not to intentionally capture the image or likeness of other participants. If others are captured inadvertently, such content must not be shared or distributed, including on social media.

We prioritise and respect client privacy at all times.

Minors

Participants must be 9 years or older.

Participants under 18 must have a parent or legal guardian present.

Respectful Conduct

All clients are expected to behave respectfully toward instructors and fellow clients.

Elm Studios Ltd reserves the right to refuse service or terminate memberships or class access without refund in cases of disruptive, abusive, or unsafe behaviour.

Illness & Public Health

If you are unwell, have tested positive for a contagious illness, or are experiencing symptoms such as fever or cough, please do not attend your session.

Elm Studios Ltd shall not be held liable for delays, cancellations, or service changes due to circumstances beyond our reasonable control, including (but not limited to) extreme weather, government restrictions, strikes, or pandemics.
